Position Overview:
As the Executive Assistant to the Managing Director, you will be the backbone of the MD’s daily operations. This role goes beyond traditional administrative duties—you will be an extension of the MD’s leadership style, helping to drive initiatives, streamline processes, and maintain seamless communication across teams. With a strong focus on innovation, organisation, and strategic support, you will ensure the MD’s time and resources are optimised. Key Responsibilities:
- Manage the MD’s calendar, prioritizing meetings and initiatives based on strategic goals, urgency, and impact.
- Act as a thought partner, anticipating needs and facilitating proactive decision-making for MD.
- Prepare briefing materials for meetings, calls, and presentations, ensuring the MD is fully informed and ready to engage with internal and external stakeholders.
- Coordinate strategic projects and initiatives such as the African Founders and Executive Talk (AFET), ensuring alignment with organizational goals and timelines.
- Support the MD in key business development efforts, including managing relationships with clients, partners, and investors in the EdTech and translation space.
- Organize, plan, and execute travel arrangements, conferences, and events, particularly for international engagements, understanding logistics and cultural nuances.
- Help manage vendor relationships, particularly those related to EdTech and the language service industry, ensuring quality and timeliness.
- Assist in managing and streamlining communication between leadership and department heads, facilitating the flow of information and alignment of priorities.
- Draft speeches, emails, reports, and other materials on behalf of the MD, with a solid attention to detail and consistency in messaging.
- Help implement best practices for using productivity tools, document management systems, and collaborative platforms to enhance efficiency.
Skills & Qualifications
- 3+ years of experience in a high-level executive assistant or project management role, ideally within the EdTech, translation, or tech-enabled services sectors.
- Experience in the NGO sector, the education technology or translation industry.
- Able to use Microsoft Teams, efficient in AI productivity tools and project management.
- Exceptional organizational and multitasking abilities with a proven track record of managing complex schedules and projects, often with tight deadlines.
- Outstanding communication skills, with the ability to effectively engage internal teams and external partners, especially in a multilingual or cross-cultural context.
- A global mindset with sensitivity to cross-cultural communication and understanding of international business practices.
- Strong critical thinking and problem-solving skills, able to drive practical solutions.
- High level of integrity and professionalism, with experience handling confidential information and making decisions aligned with executive priorities.
- Fluency in English is required; additional proficiency in other languages (French, Twi, Swahili etc.) is a plus, especially for international interactions.
